D91 Council Meeting Club Proxy

Make SURE that your Club’s Vote Counts!

As we approach the D91 Council Meeting in May – held during the Londinium Spring conference – Helena Brewer, D91 Administration Manager, will soon be sending notices to Council Members.
At club level, these will be sent to every Club President and Vice President Education (whose attendance of the council meeting is part of the job!).  Unfortunately, there are often many of these club officers that are unable to attend the Council Meeting, for various reasons, even though their attendance should be subsidised by their club.

A solution to this problem exists, because other club committee or club members who attend the Council Meeting can vote as the club’s proxies.

In order to ensure that your votes are carried by club members attending, you have to assign these using the Proxy Form below. The member that has been assigned proxy has to bring the signed form with them, and then register for the District 91 Council meeting with our District Parliamentarian, David Sutcliffe.  This registration takes place in advance of the Council Meeting, so please make sure to allow time to register.

Remember, there is no fee to attend the Council Meeting, and your club should subsidise your attendance costs.
Simply put, don’t waste your vote or the opportunity to see your leaders.

It’s helpful to share the notices with club members and understand the business matters that will be discussed at the Council Meeting. For members that attend the Council Meeting, it’s great to report back to your fellow club members on outcomes of matters discussed.

Before I became District 91 Director, I had attended and participated in lots of district council meetings.  I thought I had the hang of it when I took on the District Director role, but it turned out that my predecessors had made it look easy.

roberts rulesI was fortunate to get a clue that I was on a steep learning curve when I ran my first District Executive Committee meeting in September with the Area and Division Directors.  It was fairly light, nothing that couldn’t be handled, but I realised that Robert’s Rules were less of a list of rules and more of a whole new language, especially when it came to handling motions.  And handling motions becomes more complicated when you take into account that we have a detailed set of governing documents in Toastmasters, and we need to make sure that any motion doesn’t conflict with them. 2nd Notice of District Council Meeting – 7 November 2015

Dear District Council Member,

Notice: District Council Meeting

You are invited to attend the District Council Meeting on Saturday 7 November at 11.30am at Swindon Marriott Hotel, Pipers Way, Swindon, SN3 1SH.

Members of the District 91 District Council are Club Presidents, Club Vice Presidents Education, Area Directors, Division Directors and District Leadership Team members.

Proxy voting: In order for our District Council to conduct business, there needs to be a quorum of a third of all Club Presidents and Vice Presidents Education (VPEs). Therefore it is really important that each President or VPE either attends or looks for a member in good standing from their club to carry their vote (a proxy). If you are sending a proxy, Proxy Form November 2015 and send/give it to the person you want to carry your vote. Note that other District Council members cannot send a proxy, just club Presidents and VPEs.

Registration: All voters for the District Council Meeting must register with the Parliamentarian at the Conference in advance of the Council Meeting in order to get credit for their vote. Registration will close at 11 am sharp on the morning of the Council Meeting.

The Conference: The GW Conference is being held at the Swindon Marriott Hotel, Pipers Way, Swindon, SN3 1SH. The programme will include keynotes from newly appointed Regional 11 International Director Teresa Dukes and District 95 International Speech champion for 2015 Thomas Rose. Also it includes the Humorous Contest, Table Topic Contest and amazing workshops, from past Toastmasters International President Ted Corcoran and many more.
