Back to school for Toastmasters

Back to school is a usual September activity for many whether a parent, student or a Club member! September is a time for new challenges and opportunities.

When was the last time you brought a friend to a meeting? When was the last time you entered a Speech Contest? When was the last time you took on a Club project?

As a Club officer myself (Sergeant At Arms) I had a busy summer, from running a Zoom course for my members who were tempted to take the leap and be the Zoom Master of a meeting, to proposing a fully costed plan for running a hybrid meeting when it becomes possible.

Witnessing the start of our Club Contest is always inspiring and an experience one will never forget. If your Club still needs to run its Autumn contest, jump in and experience it, you will not regret it!

I remember fondly when at school, university or starting a new job, the exhilaration of doing something new, meeting new people, creating new friendships. As a Club member, we get to do all of this, at every meeting! So why not invite a friend, colleague or other-half to the next meeting and share with them why you are a member!

Now that we are primarily meeting online, being local is no longer a restriction, and I took advantage of visiting other Clubs around the globe from the Middle East to the Americas. And every time, I gained a new idea, better understood cultural identities, and got energised from the experience.

As a member, I love that we have been able to recruit members in my Clubs from other continents and bring this once in a lifetime opportunity to all my Club members, this is enriching and this is what brings us all together.

Imagine this

A keen individual, let’s call her Carmen, has heard about Toastmasters from a friend and tries to contact her local club via the internet. A few days go by and she hasn’t heard back, so she then picks up the phone to call. Because Carmen is super keen, she manages to get through to a previous committee member who gives her the information required for your next club meeting.

David, on the other hand, has worked up the courage to explore Toastmasters, after hearing about it from his elder brother for years. He hears nothing back and does not pursue things further. Does any of this sound familiar? Every year, between May to July, we go through a leadership transition period in our club’s and Districts. Sometimes it takes a while to for handovers to complete. Toastmasters International remains one of the primary search tools for people looking for their local club. Are the contact details in club central current? How long does it take for your club to respond to an enquiry?

Over the last few months, we’ve all experienced a new member experience to anything ever before. With most of our clubs adopting virtual meetings, our ‘network break’ may not feel the same. In some cases, it’s been a lifeline for long-standing members to get involved as it may be easier for them to dial in and not have to worry about childcare or a commute. Some may wish to stay connected to the club but opt for shorter meetings due to the other screen time they have.

As you plan as far as you can for your club’s success this year, I’d invite you to engage all your members in feedback. This could be by running a survey or facilitating one meeting just to ‘Moments of Truth’ – a way where all members can get involved in quite literally doing an MOT of the club.

Finally, we have a number of clubs in our midst this year that could genuinely do with some additional support. To that end, I have appointed a Club Retention Committee charged with finding and matching appropriate ‘Club Coaches’ to such clubs. Could this be you? Online communication is now a way of life, even when we return to what was considered “normal”. The world has changed and there will be some sharp changes in the workplace. Every interaction is a moment of truth, and leaves an impression, whether in person or on-line.

Ending an extraordinary year

Time flies and it’s hard to believe that we’re already in the middle of June with the end of the 2019-20 Toastmasters year just a fortnight away. The least I can say is that this year was a very interesting year for the District and a very successful one on so many levels.

The lockdown hasn’t slowed us down!

With four clubs chartering during this time and new members streaming in, it’s been busier than ever. It’s great to find our members now coming back to rejoin their clubs. After the initial panic, let’s face it, we all did in one way or another, after weeks of being at home, our online windows on the world have provided opportunities for us to stay connected and let’s be honest, sane. At the beginning when the switch to meeting online was mooted, many members were not happy. Now in May, we reflect on our club, contests and conference sessions; they were all able to perform well and adapt seamlessly to the online format. This is itself a success.

“United We Speak” is the Region wide initiative to run Open House meetings, which you can invite friends, colleagues and family to join. There’s a Facebook page – United We Speak – as well as details appearing on LinkedIN. District 91 is hosting an event on 21 May.

The mantra “30 is the new 20” for club membership has been embraced. By increasing their base membership, some clubs are weathering this storm. What has been great to hear from you is that even if members didn’t renew, that clubs are still involving them to encourage them to join and experience an online meeting. Others are now actively seeking guests to join their meetings and to engage in the “+3 Challenge” to recruit three members (1st April to 31 May) to be gifted £30 from the District. As we are in May, running through to 30 June, it is of course Beat the Clock – time to increase your membership by 5.

During these challenging times members have stepped forward to offer support to members of their clubs in so many ways. I have heard stories of bread and milk drop offs; writing letters and posting them; and a tutorial on mastering online shopping. The latter was needed to avoid the 10 carrots, being 10 bags of carrots.

The continued support our Toastmasters community is providing is shining through right now. Let us pause for a moment, to thank all that have worked hard to support members, phoned those living alone or self-isolating, provided an escape for health care workers to do something ‘normal’ by joining their club meetings and to see familiar smiling faces at online club meetings. It may seem small, but right now, it is priceless.
